Return and Refund Policy

Encore Ballet Festival – Refund Policy

The Encore Ballet Festival is a professionally run event that requires advance scheduling, staffing, and venue coordination. To ensure fairness and consistency, we have established the following refund policy for all registered participants.


1. Registration Fee – $260 (Non-Refundable)

The one-time registration fee covers:

  • Participation in one performance (solo or ensemble)

  • Access to all festival classes, workshops, and events

  • Festival materials and welcome packet

  • Admission to the Awards Ceremony & Social Hour

This fee is non-refundable for any reason, including but not limited to:

  • Scheduling conflicts

  • Illness or injury

  • Personal or professional obligations

  • Travel delays or cancellations

  • Acts of nature or unforeseen circumstances

This policy applies regardless of whether the participant ultimately competes or attends classes.


2. Competition Entry Fees (Refundable with Notice)

Solo Performances – $60 per additional routine
Ensemble Performances – $45 per dancer, per additional routine

These fees are refundable only if:

  • The dancer submits a written request to withdraw, AND

  • The request is received before the official competition schedule is released (approximately 3 weeks prior to the festival)

Refunds will be issued to the original payment method within 14 business days after approval.

No refunds will be issued for competition entries once the schedule is published, regardless of circumstance.


3. Medical or Emergency Exceptions

In the case of serious injury, illness, or a verified medical emergency, participants may be eligible for a credit toward a future Encore Ballet Festival under the following conditions:

  • Written request submitted to festival management no later than 48 hours prior to the start of the festival

  • Accompanied by official medical documentation from a licensed provider

  • Credit will apply only to competition entry fees (not registration fees) and is subject to review and approval by the festival director

No credit will be issued for no-shows or day-of withdrawal without prior communication and documentation.


4. Substitutions & Performer Changes (For Ensembles Only)

  • Individual registrations are non-transferable and may not be reassigned to another dancer.

  • Ensemble substitutions (i.e., replacing a dancer within a group piece) may be allowed with advance notice and written approval before Thursday evening check-in.

  • No substitutions are permitted on the day of the performance.


5. Canceled or Postponed Festival

If the festival is canceled or rescheduled by the organizers due to unforeseen circumstances (e.g., public health restrictions, venue closures, or natural disasters), registered dancers will be offered:

  • A full credit toward the rescheduled event OR

  • A partial refund, minus non-recoverable administrative and processing costs

Festival management will notify all registered participants via email with instructions should this occur.


6. How to Request a Refund or Credit
